Studio Policy.

Welcome to Kailyn’s Dance Vault

At Kailyn’s Dance Vault, we aim to foster creativity, confidence, and community. We’re committed to providing a high-quality, respectful, and safe space for dancers of all backgrounds and experience levels. Please review our studio policies below — these serve as our foundation for mutual respect and smooth operations.

1. Dress Code & Personal Presentation

All dancers are expected to arrive in appropriate attire for their class style. Hair must be neatly secured away from the face, and proper dance shoes are required at every session. Dressing appropriately prepares the dancer for focused movement and demonstrates professionalism.

    •    No loose jewelry or accessories.

    •    Dancers must bring the required shoes for their class type.

    •    Improper attire may result in being asked to observe instead of participate.

2. Class Placement & Levels

    •    Recreational classes are assigned based on a dancer’s age as of September 1st of the current dance year.

    •    Competitive class placement is determined by the director and teaching staff, considering ability, commitment, and choreography requirements.

    •    Parents are not involved in level placements for competitive teams.

3. Studio Conduct & Behavior Expectations

We expect all students and families to treat the studio, staff, and peers with kindness and professionalism.

    •    Bullying, aggressive behavior, profanity, and disrespect will not be tolerated and may result in removal.

    •    Dancers who disrupt class or repeatedly disobey studio guidelines may be dismissed from routines.

    •    Parents must remain in the waiting room and are not permitted to enter the dance space unless invited.

4. Tuition, Payments & Financial Responsibility

    •    All tuition, registration, and fees must be processed through our online portal.

    •    The account holder (parent or guardian) is fully responsible for all payments and agreements signed during enrollment.

  • Tuition is due the 1st of every month (September- June)

    •    Tuition past 10 days of a due date, a late fee will be charged directly to the account. If an account has a balance past 40 days, the dancer may not participate until resolved.

    •    Family and sibling discounts are available!

5. Absence, Illness & Attendance Policy

    •    Attendance is essential for progress and team consistency.

    •    If your dancer will be absent, please contact the studio before class.

    •    Multiple absences, especially in competitive classes, may affect performance eligibility.

    •    Excused absences include:

    ◦    Illness (please stay home if contagious)

    ◦    Family emergency

    ◦    Required school functions

    •    After excessive unexcused absences, families will be contacted to discuss next steps.

6. Class Arrival & Tardiness

Please arrive 10–15 minutes early to ensure dancers are dressed prepared.

    •    Students who arrive more than 10 minutes late may be asked to observe, especially in warm-up focused classes.

    •    Frequent tardiness disrupts the learning environment and may impact choreography and participation.

7. Studio Closures & Weather Policy

Kailyn’s Dance Vault follows the public school district of our town for weather-related and emergency closures. If schools are closed due to snow days, power outages, professional days or emergencies, dance classes are also canceled unless stated otherwise.

    •    Notifications will be sent via email and posted on our social media and website.

    •    In certain cases, virtual or other makeup classes may be scheduled.

8. Recital Policies

Our annual recital is the highlight of the season!!! — a celebration of each dancer’s growth and commitment.

    •    Participation and costume fees will be announced midseason.

    •    All accounts must be paid in full to receive costumes and purchase tickets.

    •    A mandatory dress rehearsal will be scheduled the week of recital.

    •    Families will also receive information about recital photography, video packages, and ticketing well in advance.

9. Costumes & Performance Fees

    •    All recital costumes are non-refundable.

    •    Costumes may not be picked up until tuition and additional balances are fully paid.

    •    Midseason costume billing ensures timely ordering and distribution.

10. Food, Drink & Cleanliness

    •    No food or open drinks are allowed on studio floors or in studio rooms.

    •    Only water in closed bottles is allowed in the dance space.

    •    Dancers and guests must clean up after themselves in all areas, including the lobby and dressing rooms.

    •    Any outside food must be disposed of properly — our space is a shared, respectful environment.

11. Enrollment & Withdrawal

    •    Should a family wish to withdraw from a class, a minimum of three weeks’ written notice must be provided.

    •    Accounts will be charged for the following month if notice is not properly given.

    •    There are no refunds for missed or dropped classes after billing has occurred.

12. Observation Policy

    •    To preserve class focus, no one other than instructors and enrolled dancers are allowed inside dance rooms unless invited.

13. Purchasing Dancewear & Supplies

We recommend that all dancers purchase their gear from professional dancewear providers rather than large retail stores (e.g. Walmart, Target, etc.). Quality gear supports performance and safety.

14. Digital Etiquette & Privacy

    •    All media (photos/videos) shared by the studio may be used for promotional purposes unless a written opt-out is received.

    •    Negative or disrespectful posts about the studio, dancers, or staff on social media may result in dismissal.

15. Lost & Found

We are not responsible for any lost, misplaced, or stolen belongings. Please label all dancewear and accessories.

We do not tolerate toxic attitudes, gossip, or drama — and we hold both our students and families to these standards.

17. Additional Expectations

    •    No gum during class.

    •    No cell phones in the studio during class time (they should be stored in a dance bag or cubby).

    •    Dancers must come prepared: shoes, hair done, water bottle, and dressed appropriately.

    •    Notify us of any injuries or limitations before class begins so instructors can offer modifications if needed.

    •    We recommend each dancer have a dance bag to stay organized and keep personal belongings together.
